8 FAM 701.3-1 List of Standard Abbreviations

a. This subchapter contains a list of standard adjudication abbreviations that are unique to Consular Affairs (CA) and for which there are no checkboxes provided. The purpose of notations is to create an archival record that is easily understood by individuals with access to passport records, which is not strictly limited to individuals who work for Passport Services. You are not required to use abbreviations. However, if you use abbreviations, you should use only standard abbreviations to:
(1) Annotate paper passport applications; and
(2) Update the text and comment fields in Travel Document Issuance System (TDIS).
EXCEPTION: Although the abbreviations below are preferred for clarity, consistency, and accurate recordkeeping, meaningfully identical notational variations (that do not change the meaning or purpose of the notation) may be accepted, e.g., changing the order in which the information is annotated. |
b. This exhibit does not include abbreviations from the following sources:
(1) Acronyms for CA computer systems (see 8 FAH-1 H-501.2).
(2) Federal or semi-governmental agency acronyms; e.g., “USCIS,” “DHS,” “USPS,” “USDC,” or “DEA.”
(3) Standard abbreviations defined in chapter nine of the Government Printing Office style manual.
(4) Place of birth codes (either TDIS or American Citizens Services) as defined in 8 FAM 403.4.
c. The order in which the required data is recorded is not important. For example, when recording a court order, it doesn't matter if the name of the court is listed before or after the file date, so long as it is clear what each element is.
d. The notations can be used either in CAPITAL or small letter format. If you find that there are abbreviations missing, please advise CA/PPT/S/A/AP at AskPPTAdjudication@state.gov.
